What data we collect and why

If you contact us through the website or directly

When you get in touch with us (via our contact form, email, phone, or LinkedIn), we collect:

• Your name

• Your email address

• Your phone number (if you provide it)

• The content of your message

Why: So we can respond to your enquiry and have a record of our conversation. Our lawful basis is legitimate interests — you’ve reached out to us, so it’s reasonable for us to process this information to respond.

If we work together on a project

When you become a client, we may hold:

• Your contact details and those of relevant colleagues

• Information about your organisation and the project we’re working on

• Documents, data, and files you share with us to deliver the work (e.g. org charts, workforce data, TUPE information)

Why: To deliver the services you’ve engaged us for. Our lawful basis is contract — we need this information to do the work.

A note on employee data you share with us: In the course of transformation and change projects, you may share personal data about your employees with us (for example, for TUPE transfers, redundancy programmes, or organisation design). When this happens, you remain the data controller for your employees’ data, and we process it only on your instructions, as your data processor. We handle it with the same care as all other data we hold.

Website analytics

Our website (built on ClickFunnels) may collect standard analytics data such as pages visited and how long you stayed. This is typically anonymised and doesn’t identify you personally. How long we keep your data

We don’t hold on to data longer than we need to. Here’s our general approach:

• Enquiries that don’t lead to a project: we keep your details for up to 12 months in case you get back in touch, then delete them.

• Active clients: we keep your data for the duration of the project plus 12 months after it ends, to cover any follow-up questions or reference needs.

• Employee / project data (e.g. TUPE, redundancy): we delete or securely return this within 12 months of the project ending, unless there’s a legal reason to hold it longer (e.g. ongoing legal proceedings).

• Financial records: we keep these for 6 years as required by HMRC.



Who we share your data with

We don’t sell your data. Full stop.

We share data only when we have to or when it’s necessary to deliver your project. That might include:

• ClickFunnels (our website platform) — processes contact form submissions and website activity on our behalf

• Our accountant or legal advisers, if needed for a specific matter

• Third parties you’ve explicitly asked us to work with as part of a project

We don’t transfer your data outside the UK unless we’ve told you and have the right safeguards in place.



Your rights

Under UK GDPR, you have the right to:

• Access the data we hold about you (a ‘subject access request’)

• Ask us to correct data that’s wrong

• Ask us to delete your data (the ‘right to be forgotten’)

• Ask us to stop using your data in certain ways

• Receive your data in a portable format

• Object to how we’re using your data
